Job Description

Assists the VP, Business Affairs in all facets of business affairs for integrated production department. Provides proactive support to the VP, Business Affairs and producers. 

Ability to work comfortably both independently and within group dynamics. 

Manage daily work-flow and long-term projects as assigned.   

Strong drafting skills and basic understanding of legal terms and interpretation of contracts. 

Experience working with third party SAG signatories and a working knowledge of union rules and estimating all union session, usage fees and fringes.  

Excellent organizational skills, verbal and written communication and attention to detail.  

Liaison and work fluidly with account, production, project managers, legal, finance and operation teams.  

  • Work with producers to create accurate estimates and assess talent requirements per project. 
  • Liaison and work with our clearance service to vet anything required related to an execution.  
  • Generates talent estimates and provides guidance on most cost-effective ways of managing talent residual budgets.  
  • Experience working with third party SAG signatories for union projects and experience working on non-union integrated campaigns for social, interactive, digital, photography components. 
  • Advises account team on talent and/or third- party rights agreements that will be coming up for expiration so account may discuss with clients future plans for release or renewal.  Maintain rights and expiration tracking for stock, talent, music rights etc. 
  • Works with each producer to provide accurate production estimates. 
  • Works with VP Business Affairs, Business Manager, producers, Head of Production and involved with dealings with cost consultants. 
  • Responsible for drafting of purchase orders, production contracts, releases, affidavits, music rights agreements and other production/vendor documents in concert with agency legal counsel. 
  • Oversees all project assigned production and talent residual vendor invoices and after reviewing for accuracy, codes and uploads invoices through JIRA for A/P to process.  
  • Maintains inventory of elements in storage at Out of State warehouse for specific clients and internal elements sent to out of state warehouses for sales tax and integrity of material and manages invoices on monthly or quarterly basis.  
  • Vets fonts through legal for review on a case by case basis.  
  • Researches and resolves production billing-related questions from staff, clients, vendors, performers. 
  • Understanding of insurance requirements and special insurance needs when needed for non-appearance, high risk productions, foreign productions, weather insurance, drone insurance etc.  
  • Work with production companies and all third- party vendors in obtaining all COI’s or working with client’s insurance companies to provide insurance to vendors when needed. Ensure that all vendors meet our insurance requirements and provided the required COI’s.  
  • Work with account teams to obtain required information on client’s SAG signatory or non-signatory status and existence of cost consultant that agency may deal with when an account is new.  
  • Assist in on-boarding and setting up freelance crew within Extreme Reach Crew Services payroll company. 
  • Knowledge of network clearance process–works with media, third party vendors when required, account management, producers to provide any assistance in the process.  
  • Knowledge in traffic procedures and provide guidance when needed depending on accounts.  
  • Experience working with Third party payroll companies and ability to create all necessary session and usage payments for processing through the payroll company. Extreme Reach system is a plus. 
  • Knowledge of copyright and licensing of rights as pertaining to commercial usages and based upon on the client’s needs and requirements. Ensure appropriate rights are secured to protect the agency and client from any potential infringements. 
  • Act as first point of production review of potential legal issues. Referral to legal and or specialty clearance partners for review of IP properties, contracts and labor issues. 
  • Work with producers and A/P to set up new vendors.  
  • Uploads all contracts for archival purposes. 
  • Owns any other duties/responsibilities assigned by supervisor. 

Qualifications

  • 2-4+ years of hands- on experience in a business affairs department at a digital or traditional advertising agency. 
  • Experience working collaboratively with producers, account teams, project managers, finance, legal and ops staff. 

Knowledge, Skills and Competencies: 

  • Knowledge of licensing terms and clearance requirements as they pertain to all advertising usages, permissions, and clearances. 
  • Knowledge of general labor laws and guidelines for production and working knowledge of requirements and rules for working with minors. 
  • Knowledge of PRO rights and music societies such as ASCAP, SESAC and BMI. 
  • Excellent communication skills working with client and agency teams. 
  • Excellent organization skills and extreme attention to detail. 
  • Must have proficiency with MS Excel and Word, demonstrate the ability to amend and manage databases. 
  • Proficiency in understanding professional union rules of SAG-AFTRA, AF of M, Actra, UDA and other related performer unions.  
  • Must have a solid understanding of AICP/AICE rules.  
  • Proficiency in traditional and digital advertising and some knowledge of print required. 
  • Must have strong negotiating skills. 
  • Familiarity with FTC rules. 
  • Must have the ability to effectively articulate complex issues in writing and verbally. 
  • Must remain calm during stressful situations while managing urgent deadlines, organizing and multi-tasking a variety of details in ever changing situations and have a diplomatic and problem-solving attitude.  
  • Must also be able to understand sometimes vague and conflicting union rules and descriptions and apply them to real situations.  
  • Working with Extreme Reach Payroll Services platform and CMC/Forecast Third party signatory a plus.
