Job Description

We are currently seeking a motivated and organized individual to join our Operations team. The Operations Coordinator will serve as the Executive Assistant to Brigade’s CEO and support the Operations Department to handle the day-to-day management of the office. Your role to maintain a smooth, well-functioning work environment will help support Brigade in its creative missions. 

Responsibilities:

Executive Assistant to the CEO

  • Provide logistics, scheduling, coordination, administrative, time-management, and communications support.
  • Maintain calendar and heavy appointment schedule 
  • Manage domestic and international travel 

Operations Coordinator/Assistant to Senior Director of Administration

  • Manage the needs of the office ensuring an efficient overall operation, including office readiness condition and day-to-day needs of office management.
  • Manage vendor relationships, ensuring all projects are completed on time and within budget.  Handle other inquiries as they arise.
  • Respond to & complete requests from employees ensuring the office is properly maintained and stocked.  Stock, clean, and organize work areas (office & kitchen); Order all office supplies including food and equipment as needed. Responsible for the stocking and reordering of all janitorial-related supplies; Maintain common areas within the office; continuously monitor spending and explore/propose cost-effective alternatives.
  • Promote company culture by planning and managing all employee and client events including employee functions, special projects, and initiatives. 
  • Special project work, including compiling team and client information as needed

Qualifications

  • 1-2 years in an administrative or operations role; experience with vendor management prefered 

  • Highly motivated, self-starter with the ambition to anticipate and address office needs

  • Proficient in Microsoft Office Suite; ability to learn required business systems

  • Strong organizational and time management skills
     
  • Problem-solving mindset, able to tackle the unexpected
     
  • Excellent communication and interpersonal skills; strong collaborator
     
  • Organized with the ability to prioritize and multi-task; strong attention to details
