Program Manager, Internships

The Program Manager, Internships will be responsible for managing a portfolio of API core, adopted and customized internship programs abroad. The position will serve as advisor and main point of contact for prospective students and their parents who are interested in participating in an internship program, as well as students currently enrolled and/or participating in internship abroad  programs through API. This role will also serve as one of the subject matter experts on internships.

ESSENTIAL FUNCTIONS  

Oversight of the admissions process for a portfolio of internship programs

• Serve as primary advisor, promoting a portfolio of API programs via telephone, virtual advising, and email to prospective students and parents
• Answer all questions related to program specifics (admissions and placement requirements, visas, deadlines, travel or virtual logistics, credit information etc.)
• Oversee admissions and onboarding for a portfolio of programs (manage incoming applications and materials, notify student acceptances, coordinate interviews with students, share offer letters and ensure students are prepared for their internship)
• Conduct calls with each applicant to discuss application, career goals and preferred type placement, set expectations with applicants regarding program;
• Review cover letter, resume, and letters of reference prior to submission to overseas partners
• Liaise with the on-site resident coordinators/directors as required to secure student placements within an appropriate timeline
• Manage student records in Salesforce (update and maintain enrollment data for each student, conduct periodic file audits and corresponding updates, etc.) and maintain updated student files within Google Drive, to be shared with on-site staff.
• Implementation of post-acceptance procedures
• Oversee the distribution of acceptance and onboarding materials for students and parents.
• Work with on-site staff and forward reviewed student files for placement opportunities and facilitate (weekly, sometimes daily) communication with overseas staff regarding status of placements
• Coordinate virtual interviews between potential employers and the student
• Support the student visa process by reviewing  site-specific visa requirements, requesting documentation from employers and prepare/distribute visa materials to students as needed
• Coordinate with resident directors to collect information needed for final email (housing placements, excursion  schedule and academic calendar) and prepare corresponding student itineraries and forms
• Order insurance and electronic insurance letters (for purposes of the student visa) for program participants; reconcile insurance invoices
• Work with resident directors to make special arrangements for students (early/late arrivals, hotel needs, etc.)
• Create periodic reports for resident directors regarding enrollment for upcoming semesters
• Update payment schedules in Salesforce for students who need to be billed for special program fees (additional requests, premium housing, etc.)

Special Administrative Tasks

• Notify scholarship recipients of their awards by phone and/or email
• Review accuracy of website information and catalog for annual publication, on seasonal and as needed basis
• Review post-program evaluations and submit reflections on improvements to be made based on feedback

SUPERVISORY RESPONSIBILITIES

 This position has no direct supervisory responsibilities, but may have in the future.

EDUCATION AND EXPERIENCE

• Bachelor's degree from accredited college or university
• 5+ years in the workforce with some prior experience in international education
• Experience in account and/or relationship management and career services
• Previous participation in a study abroad or internship abroad program (or living internationally) a big plus

REQUIRED SKILLS AND ABILITIES

• Proficient in Microsoft Office and Google Suite
• Working knowledge of Salesforce or similar CRM preferred
• Ability to manage multiple projects simultaneously, while meeting/exceeding ongoing deadlines
• Strong written and verbal communication skills with a high level of professionalism
• Strong interpersonal and relationship building skills

TRAVEL

This position may require occasional travel, including possible international trip(s), which may be during the evenings and/or on weekends.

POSITION STATUS AND EXPECTED HOURS OF WORK

This is a full-time, permanent position. Work schedule is Monday through Friday and hours may be between 8 AM and  6 PM. Work hours may vary on occasion and evening and weekend work may be required as job duties demand.  Overtime is minimal and work schedule should be adjusted for a 40-hour workweek.

While we are working a hybrid onsite schedule for now, we look forward to collaborating together in person again in our recently renovated office in Westlake Hills, located just minutes from Barton Creek, Lake Austin and downtown.
