Job Description

Apex Clean Energy is seeking a Payroll Manager to oversee and supervise Apex’s payroll function, ensuring pay is processed on time, accurately, and in compliance with government regulations. Reporting to our Vice President of Accounting and managing our Payroll Accountant, you will be charged with managing a dynamic, multi-state, complex payroll for a domestic company with 325 employees.

Our ideal candidate comes into this position with several years of payroll experience, comfort in a dynamic environment with shifting demands and priorities, and with a proven track record of successfully maintaining efficient and effective processes related to payroll and employee data. This position requires the ability to adapt to changing priorities in a fast paced, high-growth environment. Experience with payroll elements such as option exercising, taxable travel, and other complex elements are a must. In addition, supervisory experience managing a small team is preferred.

Primary Responsibilities: 

  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Facilitates audits by providing records and documentation to auditors.
  • Help develop best practices and improve efficiency of payroll processes, as needed; leverage system capabilities to drive automation
  • Maintain payroll guidelines by writing and updating policies and procedures
  • Partner with Human Resources to ensure streamlined end-to-end business processes
  • Participate in cross functional initiatives and process improvement efforts as needed
  • Comply with federal, state and local legal requirements by studying existing and new legislation; ensuring adherence to requirements; advising management on needed actions
  • Respond to payroll questions and concerns from employees
  • Gather and report requested data to internal and external recipients as needed
  • Support the preparation of payroll related information required for annual audits, internal budgets, etc.
  • Reconcile and balance payroll-related accounts; resolve discrepancies
  • Assist with other tasks and special projects as needed

Qualifications

To succeed as our Payroll Manager at Apex Clean Energy, you’ll need to excel within the following criteria:

  • Six (6)+ years of payroll experience
  • Multi-state payroll experience required
  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes
  • Experience with option exercising, taxable travel, and other complex payroll elements
  • Excellent organizational skills and attention to detail
  • Strong analytical and problem-solving skills
  • Strong supervisory and leadership skills
  • Proficient with ADP Workforce Now and Microsoft Office Suite
  • Ability to organize and plan work effectively to meet goals and objectives
  • Ability to work in a fast-paced environment
  • Excellent communication skills, both written and verbal, with the ability to effectively address all levels within the organization
  • Location: Willing and able to spend at least some time per week working from our Headquarters in Charlottesville, Virginia.
