In the same way, the California ISO operates independently—managing the electron traffic on a power grid we do not own—making sure electricity is safely delivered to utilities and consumers on time and reliably.

Job Description

Under the general supervision of the Manager, assist the department in performing work effectively and efficiently by proactively providing support services including preparing and filing reports and documents, gathering data, coordinating meetings and communications, and providing general office support.  Works closely with other department and division managers and staff.   Handles information with a high degree of confidentiality, and acts as a delegate for department as needed.  Core duties require proficiency and ability to acquire new skills in producing external quality regulatory filings, correspondence, reports and presentations using Microsoft Word, PowerPoint and Excel, in addition to maintaining department records. The job requires willingness and ability to develop skills in various other software tools, information systems and processes as needed to help support the department and division.  New skills needed are developed through on the job experience, training, self-study, and by working with other department staff.

What You Will Be Doing:

  • Assist with preparation of documents and reports for filing with regulatory agencies and courts.
  • Prepare memoranda, correspondence, presentations and other communications. Post content on ISO website and maintain content on department’s internal team site.

  • Maintain the department’s SharePoint site, onsite files and materials at offsite storage facility.  Attend records coordinator meetings. Participate in other records management meetings and activities. Assist in researching documents and information for the department. 

  • Schedule and facilitate meetings via web-based platforms (WebEx, Skype, Zoom, etc.), and in office.  Coordinate meeting logistics including catering and audio-visual needs. Prepare agenda, notes of action items or meeting minutes as needed.

  • Coordinate and process departmental payables and receivables including payments to contractors, payment vouchers, invoices, expense reports and purchase requisitions in compliance with corporate policy.

  •  Attend business meetings, and collaborate with ISO colleagues to develop "best practices" policies and procedures, and to identify and resolve issues to help create a flexible and efficient organization.

  • Demonstrate customer service and effective interpersonal skills in coordinating with other ISO personnel; and communicate as required with management and the public.  May act as the central point of contact for the department.

  • Support department projects and provide back-up support to legal staff as needed. Provide administrative services for department.  Work independently to perform administrative tasks and disseminate information as required. 

Qualifications

Level of Education and Discipline:

A high school diploma or equivalent (G.E.D.).  Associate’s or Bachelor's degree, or equivalent education, training or experience preferred.

Amount of Experience:

Two or more years related experience.

Type of Experience

Related administrative experience in corporate/professional environment.  Law firm, corporate legal department, public utility or public agency experience helpful.  

Additional Skills and Abilities:

Strong verbal and written communication and documentation skills required, with a demonstrated attention to detail. Strong computer skills in Microsoft Office Suite, particularly Outlook, Word, PowerPoint, and Excel. Excellent organizational skills required. Strong interpersonal and conflict resolution skills are also essential. Must be able to work effectively in a team environment as facilitator and team member, and also independently with the ability to influence others without direct authority.  Must be self-starting and able to handle a dynamic and changing work environment. Ability to learn additional technical skills, knowledge of ISO processes, and gain proficiency in software tools and processes used in the department (i.e., calendaring, records management, regulator filing portals).
