Job Description

Position Summary:  The Grant and Contract Billing Specialist provides expertise in creating invoices and tracking payments related to government grants and other association contracts. We are looking for a high energy, proactive, and talented professional who can use their strong experience to have a quick and positive impact in our organization.  In this role, you will be a collaborative and forward thinking partner to the Accounting Manager.

Essential Duties and Responsibilities 

  • Maintain complete and accurate files for assigned contracts, staying current with program and contract changes
  • Understand financial requirements of assigned contracts, and ensure functions are completed in accordance with applicable federal, state and county guidelines, including expense eligibility and appropriate documentation
  • Coordinate coding of expenditures related to assigned contracts
  • Coordinate with program staff to complete all non-financial contract reports, ensuring assigned contracts are submitted on time
  • Work with program staff to review on-going budget to actual reports and manage adjustments and corrections in preparation of monthly invoicing
  • Prepare and send invoices and all required reports to assigned agencies
  • Assist with contract and revenue tracking sheet to ensure the revenue and expenses booked in the general ledger are in the proper periods and assigned contracts are not overbilled
  • Effectively communicate with varying levels of staff, including grantors/funders, responding promptly to all requests and inquiries
  • Support accounting department as needed
  • Assist with external agency and financial audits as needed

Qualifications

Qualifications

  • Two or more years of relevant experience in financial procedures, and budgeting process related to government grants and contracts. AA degree Preferred. Other applicable education, training, and experience will be considered.
  • Experience in Sage Intacct is a plus
  • Proficient in Excel, data analysis and reporting
  • Strong attention to detail, analytical and organizational skills
  • Ability to thrive in a fast-paced environment that often requires managing multiple deadlines and responding to deadlines with short lead time
  • Strong communication skills
  • Experience with confidentiality and data protection
  • Enjoys working independently and collaborating with team members
  • Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.)

Additional Information

Salary & Benefits: $28-30 Hourly Rate dependent on experience, Part time non-exempt, approximately 24 hours/week.  Excellent benefits include fully paid medical coverage, vision, and dental for employees and generous coverage for spouses, partners and dependents.
